Privacy

The short version

We collect what you type into our forms. There is no advertising on this site, no tracking pixels, and nothing that follows you around the internet. We do not sell anything about you to anyone, and we never will.

What we collect, and why

If you apply. The application asks for your name, email, where you are, your pronouns if you want to give them, and a set of questions about your business – what it is, who pays for it, what you are stuck on, your revenue, how much time you have, which track you want, and how you plan to pay. We collect it because we cannot read an application without it. Your answers are read by Rochelle and a small committee of Mosaic alumni and members of the Village, and by nobody else. They read in the Reading Room, a private space on this site. Each reader has signed a confidentiality agreement, sees only the applications given to them, and loses access when decisions are made. Readers never see your email address, how you describe yourself, how you plan to pay, or whether you asked for a community-supported place. No AI reads, summarizes or scores your application.

If you buy something. Payment is handled by Stripe. Your card details go to Stripe and never touch our systems – we see your name, your email, what you bought and whether it was paid.

If you use Akin. Akin is our AI guide, built by reGEN Impact Media. What you say to Akin is processed by reGEN under their terms. We do not train any model on your application, your numbers or the things you say in a session without asking you first, in words, in advance – and saying no costs you nothing and changes nothing about your place here.

If you join the co-op list. The Be counted form on the Co-op page asks for your name, your email address, where you are in the world, and how you would join. We collect it for one reason: to write to you when the co-operative is incorporated and membership actually opens. It is not an application to invest, and we never use it to sell you anything.

If you are in a cohort. Sessions run live on Zoom, so your name, video, audio and anything you type into the chat pass through Zoom, a United States company, under its own privacy terms. Zoom’s live captions are created automatically during the session. The recording starts when the teaching does. Every session opens with a check-in – how you are, what happened this week, who is stuck – and that part is never recorded, however long it runs. What is recorded is the teaching, so that a session you cannot attend is not a session you have lost. Recordings are for your cohort only – never shared with Open Track, the Village, sponsors, partners or anyone else, never used in our marketing, and covered by the same confidence as the room. We also keep a record of who attended each session, because completing the program depends on it. Each recording is moved out of Zoom into the portal, and the Zoom copy is deleted. The teaching is also transcribed. Zoom’s AI Companion writes a transcript and a summary of the recorded part of each session, and the cohort receives the summary. Rochelle reads the transcript, with the help of an AI assistant (Claude, made by Anthropic, a United States company), only to write the cohort’s follow-ups. Neither Zoom nor Anthropic uses it to train AI models, it is never shared outside the cohort, and it is deleted with the recordings. In the portal it is stored privately in Canada and can be watched only by founders in your cohort, through a link that works for a few hours. Under the attendance policy, one founder’s access can be paused, and it opens again as soon as they write a catch-up note.

Your mailing address, once you take your seat. Some things in the program arrive by post, on paper, so we ask cohort founders for a mailing address after they accept their seat – never on the application. Any address that reaches you works; it does not have to be your home. We use it only to post you things from Mosaic, we give it to nobody but the postal service carrying the envelope, and it is never shown to the Village or to other founders. If you would rather not give one, tell us and we will find another way.

If you use the portal. The portal is where founders, Village members, Open Track and alumni sign in. You sign in with a link we email you; there is no password. Your sign-in is kept in your own browser’s storage – not a cookie – and ends after a day (thirty days for Rochelle), or when you sign out.

• Your page. Your name, your photo if you add one, your pronouns, your business, a line about you, what you are good at and what you are looking for. A founder in a cohort is seen by their cohort, the Village and Rochelle – and by alumni and Open Track only if you switch on “Show me to the wider Mosaic community”. Your email address is never shown to anyone but Rochelle.
• Your reflections are read by you and Rochelle, and nobody else. When Rochelle writes back, we email you that a note is waiting – never the note itself.
• Your Act line – the one thing you will do each week – appears on your cohort’s commitment wall only once you mark it under way or done. One you have not started stays private.
• Your weekly numbers – conversations, asks and yeses – are read aloud on Friday only as the room’s totals. Nobody is named.
• My Business and My Progress are yours alone. Everything you write there – your tools, your maps, your conversations, your goals, your North Star – is saved to your own account, and nobody else can read it, Rochelle included. Mosaic sees only totals that name nobody: how many founders reached each milestone; how many conversations the cohort logged, how many ended in an ask or a clear no, and how many follow-ups were done – never who a conversation was with, what was said, or which founder logged it; the hours the room mapped in its Workflow Maps; and, if you say yes and at least five people are included, the cohort’s average on the readiness check. Please keep a client’s name, and anything financial or legal, out of the portal, as the program teaches.
• Community. What you post in your cohort’s room is seen by your cohort and Rochelle. What you post in the Commons is seen by everyone in Mosaic: every cohort, the alumni, Open Track and the Village. The Alumni Channel and the Open Track community are each seen by their own members and Rochelle. A photo you add to a post in your cohort’s room, the Alumni Channel or the Open Track community is stored privately, in Canada, and seen only by the people in that space and Rochelle; it is shrunk on your own device before it is sent, which removes any location data your camera saved in it. Photos cannot be added in the Commons. Remove the post and the photo is deleted.
• Private messages are read only by the people in the conversation. Rochelle cannot read them. If you report a message, that one message – and nothing else in the conversation – is shared with her, so she can act on it.
• Booking the Village. When you book someone, they see your name, the time, what you wrote about what you want from the session, and – if you leave it switched on – your business and what you are good at and looking for. After you meet, they write notes, which you can read. The Village member you book next sees the notes from your earlier Village sessions too, so each one starts where the last ended – unless you switch off “Share my earlier Village notes” when you book. Then they see only their own.
• A wellness request goes only to the Village member you choose, as a private message. Mosaic counts how many requests there are and never sees who asked or why.
• During Friday’s session, the short activities Rochelle opens are anonymous: only the room’s totals are shown. The one exception is “who to ask”: tag something you have done, and your first name appears beside it on the room’s board – so tag only what you are happy to be asked about.
• Videos in a lesson. A video from YouTube loads only when you press play, from YouTube’s privacy-enhanced service; until then nothing on the page contacts YouTube. Once you press play, YouTube’s own privacy terms apply to that video. Pictures and audio in a lesson are stored in the portal itself. Your practice tracker is yours alone: the room hears one total on Friday, and nobody is named.
• Emails from the portal – a new message, a reply to your post, a note back on your reflection – say only that something is waiting. You can switch off the optional ones on your page.

If you are a Village member, the portal also keeps when you are available and how founders book you, the sessions you log and your notes, and, for your invoices, the email and mailing address you are paid at and your GST or HST number if you charge it. Your invoice is sent to Rochelle; nobody else sees it.

If you read applications for us. We keep your name, your email address, whether you are a Village member or an alum, the date and version of the reader agreement you signed, which applications you were given, when you opened, stepped aside from or submitted each one, your notes, what you are owed, and whether you asked us to put your fee toward a Mosaic fund instead. Your notes are kept with the application they are about. Your sign-in links and reminders go out by email.

Where it lives

Applications, co-op signups and newsletter signups are stored in a Supabase database hosted in Canada, and so is everything in the Reading Room and the portal – including photos and session recordings, which are kept in private storage, also in Canada. The emails we send you – your application or co-op confirmation, our answer, the monthly letter, and the portal’s notices – go out through Amazon Simple Email Service, which processes them in the United States. Cohort sessions run live on Zoom; their recordings are moved out of Zoom and into the portal. This site and the portal are served by Vercel.

Our typefaces are served from this website itself rather than from a font service, so no third party sees you arrive. Loading a page here does not tell anyone but us that you were here.

Analytics and cookies

We may use a web analytics service to count visits and see which pages people read, so that we know what is working. Analytics tells us things like how many people opened a page, roughly where in the world they were, and which page they came from. It does not tell us who you are, and we never connect it to your application.

If the service we use sets cookies or stores anything on your device, we will name the service on this page and say so before it goes live. As of the date at the top of this page, this site sets no cookies of its own.

What we do not do

• No advertising, no retargeting, no advertising pixels.
• No selling, renting or trading your information. Not to partners, not to sponsors, not to anyone.
• No forwarding your details to an Auntie, a funder or a partner organization without asking you first.
• No sharing session recordings outside your cohort, and no using them in our marketing.
• No connecting analytics to anything you have written to us.
• No AI reading, summarizing or scoring your application. Applications are read by people.

The application form keeps a draft in your own browser as you type, so you do not lose work if you close the tab. That draft sits on your device, not on our servers, and it is deleted when you submit.

How long we keep it

Applications are kept for three years, so that if you apply again we remember you rather than making you start over. The attendance record for your cohort is kept with your application. Newsletter signups are kept until you unsubscribe. Co-op signups are kept until membership opens and we have written to you, or until you ask us to take you off the list.

Notes that readers make on your application are kept with it, for the same three years. Readers lose access to the Reading Room when decisions are made – on October 16, 2026 this season. If you read for us, your pay records are kept for six years after the end of the tax year they belong to, as Canadian tax rules require.

Session recordings, and the transcripts of the teaching, are deleted sixty days after your cohort’s final session – the portal deletes the recordings automatically, early each morning, and Rochelle deletes the transcripts, which Zoom holds, on the same day. They hold exactly what the confidence of the room protects, so we keep them only long enough for the cohort to catch up. Your mailing address is erased at the same time.

Your account in the portal – your page, My Business and My Progress, and what you have posted – stays as long as you are part of Mosaic: completing the program makes you alumni, and your login, your page and your files stay yours. Ask us to close your account and we will delete it, except what the law asks us to keep, and confirm when it is done.

Ask us to delete your application, your mailing address or either signup at any time and we will, and we will confirm when it is done.

What you can ask for

You can ask us what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. Write to info@mosaicaccelerator.com. We will answer within thirty days, and usually much sooner.

If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Changes

If we change this page we will change the date at the top. If we ever change it in a way that affects what we do with information you have already given us, we will email you before it takes effect.
